Click on Employee Register in the main navigation and you'll be taken to the List Employees page where you can see a grid display of all your employees:
Here you can see their First and Last Name, Email, Mobile Phone, Training Status, Qualification Status, Employment Status, View Profile, and one or more Actions you can take.
One thing you’ll notice is how visual it is.
From the image above, you can instantly see whether the status of the employee's training, qualification, employment, and on-boarding is Current, Pending, Expired, or Active making for easy follow-up and action.
When viewing the employee details, you can also:
- View Employee’s User Profile
- View On-boarding Status
- Archive a User
- Add Employee
- View Training Skills Matrix
View Employee's User Profile
You can also view each user’s profile by clicking on either their first name or on the View profile button in the View Profile column. Both are hyperlinks
(Hint: you might want to right click on the links and select Open link in new tab, rather than open them in the same window.)
Open link in new tab is a better way of viewing multiple profiles.
View On-boarding Status
To view an employee's on-boarding status:
- In the On-boarding status column click on the View link and you'll see:
- Go through the main section and select Yes or No where applicable.
- Once done, click on the Save Progress button to save your changes and return to the Employees register where you'll see the status has changed to in-progress.
- Once the on-boarding has been complete, you will be able to see and click on the Submit button:
- The screen will refresh and you will be taken back to the Employee Register where you'll see the updated changes:
Assign Role
To assign a role to an employee:
- In the Action column, click on the Assign Role button and the Assign Roles to Users dialog will display:
- Select the role(s) to assign and then click on the Save & Close button to return to the register.
Add Files
To add files to a user:
- In the Action column, click on the Add Files button and the Assign Roles to Users dialog will display:
- We recommend adding both a file description and a tracking date and, once done, click on the Choose File button and navigate to and select your file.
- Click on Save to upload the file, add it to your employee's record, and return to the Employee Register.
Archive an Employee
To archive a user, i.e., remove them from your company:
- In the Action column, click on the Archive button and the archive user notification dialog will display:
- Click on Yes to archive the user. The dialog will then close and your user will be removed from the list of Employees.
- Click on the Archived Employees tab to view who's been archived:
